Digital Visitor Sign-In Systems Offer Businesses Identity Management

Last updated on June 1, 2021 By Abhijith V M Leave a Comment

Keeping a track of the number of people going in and out of a business facility is very important from a security point of view. That’s why it is so important for businesses to start looking into the many types of Visitor Sign In systems available to help businesses track which personnel or an outsider is coming at which time. It is also necessary to know the purpose of the visit which can help track the kind of people visiting the facility. In this article, I’ll be taking a quick look at some of the best sign-in app types and how their different functions can affect businesses.

Electronic VMS

One type of Visitor Sign In system is the electronic visitor management system. These are used mainly by museums and galleries who need to capture visitors’ details for booking facilities and visitor guides. A traditional photo ID system would require visitors to punch a number into a card and then scan the card through a reader before they could gain access to whatever it is that the person wanted to see. The problem with this is that you then have to pay for the card in order to use it again, which defeats the point of using the system in the first place. With an electronic Visitor Sign-In system visitors simply use a fingerprint scanning device to gain access to whatever it is that they want to view, then they print out the details of their visit onto a secure document and the system will store their details for future use.

Rapid Access System

Another type of Visitor Sign-In is a rapid access system. These are also used by museums and galleries but rather than requiring visitors to punch in their details manually via a card or a computer printer, they require them to submit their pin numbers via a smartphone. The benefit to these is that not only do you not need expensive printing equipment to provide these services, you also save money on your front desk staff wages. A good rapid access scanner costs less than one dollar and can provide up to speed reading on a touchscreen device.

Visitor Logs

The third type of Visitor Sign In is used when you want to process visitors at one location. In this instance the system provides the option to print out a log of all the visitors that have been to your site so that you can monitor what is happening. You can then use this information to target visitors to areas where there has been a high amount of activity and direct these visitors towards the areas where they will most likely be interested in seeing more. Some systems also provide an interactive map tool so that your customers can see where their particular area of interest is.

Web-Based System

One final example of a Visitor Sign-In system is the web-based system. There are many web-based systems available that can provide this service as well as traditional printers and card readers. The web-based systems allow you to create a website that links to your Visitor Sign-In application and then you can place any type of logo or text on the web-based sign-in page and as the visitors arrive they are directed to your website.

Advantages of Installing VMS

This has several advantages over manual processes. For example, while visitors are being processed through the Visitor Sign In their initial interaction with your company may be through an automatic pop-up window. These are great for providing information to customers while they are waiting in line or waiting for other services such as telephone assistance to be provided. However, it is not always practical to place a large sign such as this near to the customer. If you have a high number of customers waiting, or if your company does not tend to provide a lot of face-to-face services, this method of receiving customer information is likely to result in a far lower level of efficiency than manual processes.

The reason for this relates primarily to the storage and security of data. A traditional paper Visitor Sign-In can be very easily stolen or damaged and can often be misleading when it comes to the identity of the visitor. There are some systems that offer a means of identifying the visitor based on information stored within the data storage medium itself. Visitor data storage may include, for example, the IP address of the computer from which the visitor originated. This data storage can also contain the IP address of the user who originally visited the site. It can also store information such as the duration of the visit, pages viewed, and the duration of the time the site was accessed by the visitor.
